Senior Administrative Associate to the Vice President for Academic & Student Affairs (FT)

SUNY Sullivan is accepting applications for a full-time Senior Administrative Associate to the Vice President for Academic and Student Affairs. Reporting to the Vice President for Academic and Student Affairs, the Senior Administrative Associate performs complex, confidential, administrative support functions for the Vice President and has considerable leeway for the exercise of independent judgment in planning and carrying out assignments.  He/ she works in a strictly confidential relationship with senior management and is required, on behalf of the institution, to assist directly in the preparation for and conducting of collective bargaining negotiation. He/she records minutes of confidential labor/management discussions, negotiations, budget planning and implementation, and personnel administration issues.  In addition, the incumbent trains and supervises subordinate clerical employees, provides confidential assistance to the Office of the President when requested, acts as liaison with administrative and academic officers at the college, as well as, staff, students and community members. 

QUALIFICATIONS:

  • Associates Degree in business or office management or related field, Bachelors preferred.
  • A minimum of three years of clerical/administrative experience in office management, business management, or related field working for a senior administrative officer.
  • Strong supervisory skills
  • Excellent written, verbal, interpersonal and organizational skills.
  • Ability to interact well with people at all levels.
  • Proficiency in the Microsoft Office software.
  • Experience in an educational setting is preferred.

JOB FUNCTIONS:

  • Independently composes and types correspondence on matters where policies and procedures have been defined.
  • Prepares the Vice President for Academic and Student Affairs’ budget, including dissemination, collection, and summation, take detailed minutes of confidential budget deliberations.
  • Collects information used as a basis for reports, memoranda, and prepares summaries and reports of various phases of the college’s programs.
  • Prepares sophisticated computations through the design of reports, databases and charts to summarize statistical data for the college.
  • Prepares confidential correspondence, letters, memoranda, reports, and other materials for the Vice President for Academic and Student Affairs and other senior administrative officers.
  • Prepares and maintains confidential records on divisional, professional and classified personnel and students.
  • Prepares correspondence to the President, Vice President of Administrative Services, Deans, department heads, division chairs, involving confidential and personnel related issues.
  • Prepares resolutions for College Board of Trustees and County Board of Legislators’ action.
  • Prepares the Workload Report for submission to the Office of Human Resources.
  • Updates and supervises publication of policy and materials produced by the Office of the Vice President for Academic and Student Affairs.
  • Represents the office of the Vice President for Academic and Student Affairs on committees and at meetings as requested.
  • Coordinates with and provides coverage for the Offices of the President, Vice President of Administrative Services, the Dean of Enrollment Management and Student Development Services and the office of Human Resources including access to and responsibility for personnel files, activities, preparation for and conduct of contract negotiations and payroll preparation when requested.
  • Attends labor/management contractual negotiation and grievance sessions, take and transcribe detailed minutes, and file appropriate paperwork as required by law.
  • Performs confidential work for the President, including taking and transcribing minutes at the Board of Trustees and the President’s Cabinet meetings when requested. 
  • Coordinate Academic Awards night and graduation activities.
  • Handles telephone and mail inquiries for the Vice President for Academic and Student Affairs, determines the nature of the inquiry and refers to the appropriate person or office for action.
  • Manages calendar and schedules meetings, engagements and coordinates travel arrangements including cash advances, travel vouchers, and room reservations for the Vice President for Academic and Student Affairs.
  • Schedules meetings and/or conferences and briefs administrators and department heads on subject matter before meetings.
  • Maintains files and inventory of supplies and equipment and orders office supplies.
