POSITION DESCRIPTION
JOB SUMMARY:
The Assistant Controller assists the Controller in providing oversight and supervision for the financial accounting, analysis, and business support functions of the College. This position receives general direction regarding routine and standard matters and specific instructions regarding non-routine and sensitive matters.
The Assistant Controller reports to the Controller and works collaboratively with Student Billing, Financial Aid, Accounts Payable, Purchasing, and Payroll functions.
This position is classified as Academic Support staff, and the incumbent is a member of the Professional Staff Association.
QUALIFICATIONS:
- A Bachelor’s degree in accounting with at least 3 years experience in governmental or higher education finance and accounting or an equivalent amount of education and experience to meet the needs of department.
- Knowledge of fund accounting principles and practices.
- Ability to interpret and train others on accounting policies and procedures.
- Ability to communicate effectively orally and in writing.
- Ability to establish cooperative working relationships in the course of performing assigned duties.
- Experience in the use of office, accounting and administrative software.
DUTIES AND RESPONSIBILITIES:
- Works with Controller to design, evaluate and maintain Internal Controls as required by Generally Accepted Accounting Principles and meet Audit Standards.
- Works with Controller to manage weekly Cash Flow needs.
- Assists the Controller with accounting functions such as budget management, monthly allocations of costs, revenue recognition, and collection ability of receivables, financial reporting and accounting policy interpretation, yearend accruals, year-end close procedures and annual audit.
- Oversees journal entries, maintaining adequate documentation for internal control and external audits.
- Works with the Controller on the planning and implementation of the Annual Audit of the College by the External Auditors.
- Manages Accounting for College Grants and Restricted Funds, including billing to outside funding agencies.
- Maintains up to date knowledge of the College’s administrative software program (Jenzabar) and communicates updates to the staff for workflow efficiencies. Liaison between Institutional Computing and Finance Staff.
- Provides direction, coordination, facilitation, monitoring, planning, training, evaluation, and related services to internal staff and other divisions and other College staff as appropriate with relation to the College’s budget, financial accounting, analysis, and business support functions.
- Coordinates workload between College Auxiliary Organizations and College Finance/Student Billing Staff.
- Analyzes and resolves accounting issues pertaining to their areas of responsibility.
- Orients and trains Business Office/Finance employees as assigned.
- Serves as the college liaison to the local banks.
- May represent the College’s administrative services to various College departments and divisions as well as government agencies, funding agencies, students, and/or the general public/local community.
- Serves on College committees as requested.
- Performs miscellaneous job-related duties as assigned by the Controller or Vice President for Administrative Services.
